AITS Discrete Solutions

Evolve into BPM

One Discrete Solution at a Time

If corporate BPM is not on the enterprise roadmap yet or the cost of a BPM suite is too high for your company or department, then consider AITS' discrete solutions as a path to get there.

The backbone of every small business or department is the enabling applications that support each person in every role, every day. It is often forgotten that these components are essential to BPM since they are the tools that provide the foundation supporting the daily interaction of people, processes and systems.

If adoption of an EIM solution is not embraced by the business community, it is no solution at all. It is for this reason that many projects do not continue past the first phase or into the second fiscal year. The AITS team understands this completely and integrates the community into solution delivery, aligning expectation with requirements and technological capabilities.

The path to corporate BPM often starts with a series of successful discrete solutions that converge on interoperability and repeatability. This concept is the basis for all AITS discrete solutions.

Strengthen Business and IT Foundations... How?

Automation and expensive software does not strengthen a business if it is not organized in a prepatory manner. That is, the corporate culture as well as the business methods need to be prepped for BPM. AITS' discreet solutions solves individual issues as it aligns the business community and the IT resources for leveraging the impact of automated Business Process Management.

Through Service Oriented Architecture (SOA) AITS architects solidify, unify and simplify common IT functions and business practices. Often departments and small businesses find themselves in a mess. AITS architects use the proverbial stake in the ground as an anchor, then starts cleaning and clearing that mess into structure and order. There are many ways to do this, AITS' methodology provides convergence on communicable, stable and fast discrete solutions that can merge into the rest of the department or business. Fast and reliable technology becomes invisible to daily operations.

Applied IT Solutions as a Best Practices Resource

These AITS service-solutions support both business and IT service/delivery when resources are stretched

  • Clean Data

Of paramount importance to business visibility and decision making is reliable data. Databases and other repositories require constant management and correlation to ensure the contents are valid and by extension, the dashboards, reports and all other systems are reliable.

AITS technicians implement automated systems to regularly scrub data, transform and migrate production system data tables to disparate and clean reporting tables. This ensures production systems remain distinct from data visualization tools and each remain on their respective upgrade path.

  • Forms &
    Form Processing

Using electronic forms is essential to a modern business process. Forms can be submitted by email or a website, support internal or external processes, require identification, version control and finally a place to store/use collected data.

AITS considers forms as a point-in-time truth and an essential part of records management. Establishing a forms repository (blank and filled out) is one of the primary functions of AITS discreet solutions. Adding barcodes for internal forms, waterfall techniques for identification of external documents are all part of the AITS solution.

  • Word Processing

MS Word, Google Docs or Apple Pages... all powerful applications. Can choose only one as a corporate standard. Unfortunately, most stop there and leave other important decisions up to individuals, such as: standardized templates, styles, fonts, security and collaboration rules.

AITS will establish corporate standards for documents of record, and automate the use of the most recent templates, styles and fonts to ensure brand consistency at the very least. A little bit of training on how to use the corporate standards once they have been set, establishes a BPM style of internal document creation.

  • Spreadsheets

MS Excel, Google Docs, Apple Numbers... all powerful applications. With a corporate standard in place, have workbooks and worksheets standardized, printable and distributable. Manage versions, change notification and distribution through centralization and de-duplication.

AITS will establish standards and best practices for proper use with headings, footers, fields names, calculations and links to other spreadsheets, word documents and powerpoints repositories. A modernized respository is part of the AITS clean data process and integral in managing change to toward a culture of organized information. This is a crucial step to BPM.

  • Adobe PDF

As a document distribution standard, pdf files are pervasive. File naming conventions aside, finding content can be difficult without full text search capability. This requires strict pdf creation practices for new documents and strict conversion rules for existing documents.

AITS manages millions of image conversions every year fom multiple sources including film, fiche, paper, word and flat pdf files. Even without a DMS engine, file accessibilty through the network folder and file management prepares everyone for BPM.

  • Folder Management

Ever lost a file somewhere on the network? Folder naming and directory trees do require a structured plan to efficiently manage office documents, pdfs, publications, final and work-in-progress copies.

AITS builds folder structures on the network as a step toward a BPM structure. This permits individuals early acclimation to a BPM way of thinking.

  • File Management

Sharing files within or across departments can be difficult without naming conventions. Collaborating on documents, securely and efficiently is difficult without struture.

AITS will design naming conventions to mimic BPM indicies to build experience and user adoption of BPM structured approach to true collaboration and file management.

  • Sharepoint & other CMS Sites

Content Management Systems can be very useful but sometimes require consolidation or growth strategies. Sharepoint sites can be hard to evolve once they have filled up.

AITS will plan integration or migration with/to alternate systems and help to enforce the "single point of truth" for data and documents.
